Program Co-Ordinator - Hamilton Soccer

Job Description

Hamilton Soccer is looking for a dynamic individual with experience in sports management
and league operation to join our growing staff! Hamilton Soccer is the district association
which manages all leagues and soccer clubs within the Hamilton Region. The program
coordinator role will work with the Executive Director, General Manager, staff, clubs,
Ontario Soccer, and board members to help facilitate and manage Hamilton Soccer
programming and initiatives.


Job Responsibilities

• League Management
o Registering teams and players through our software platforms
o Work on scheduling Hamilton Soccer-led events with member clubs and
other stakeholders
o Managing feedback from clubs and officials on league operations
o Visit Hamilton Soccer League game sites, as required
o Engage with sponsors and other stakeholders as instructed
o Work on player/team/official databases as needed
o Troubleshooting member issues in a timely manner
o Tracking and recording successful, an unsuccessful initiative for use in data
analysis
o Ensuring league rules and activities comply with Ontario and Canada Soccer
rules, policies and procedures

• Tournament Support
o Lead tournament registration and scheduling for events held by Hamilton
Soccer
o Managing registration, gender and age registration, and creating monitored
waitlists
o Communicating progress reports regarding league registration and
scheduling to participants.

• Administrative Support
o Work to assist General Manager with answering inquiries from member clubs
and associations on league/tournament initiatives.
o Process game reports through our online system.
o Maintain and update social media platforms on a regular basis
o Create and collate exit survey reporting for Hamilton Soccer events
o Update league rules and regulations and ensure compliance with governing
bodies.
o The face of league operations for Hamilton Soccer for indoor/outdoor
seasons.
o Various other duties as assigned

• Discipline Co-ordination and Administration
o Work to co-ordinate disciplinary matters with Discipline Case Manager and
panels
o Engage in follow-up to hearings with affected parties
o Certification in discipline panel, chair and case worker (preferred)


Skills Required

• Degree/Diploma in Sport or Recreation Management/Administration, or relevant
work experience
• Proficiency in use of Microsoft Office suite
• Comfort in working with stakeholders, both via phone and in-person
• Knowledge and/or previous experience with E2E and PowerUp platforms
• Organized and detail oriented
• Good interpersonal and social skills
• Excellent record keeping with attention to detail
• Excellent interpersonal skills
• Training or experience in dealing with those who are difficult to serve


Hours of Work/Location

• Standard hours are Monday to Friday from 9am-5pm
• During season and special events, flexibility is needed in working hours to include
evenings and weekends.
• Work will be performed on an in-office basis at the Hamilton Soccer office located
in Ancaster, and remotely when appropriate


Remuneration

• Salary range $45,000 to $60,000
