About the Role

Birmingham City Football Club is seeking a highly organised, proactive and professional Business Operations Coordinator to provide dedicated Executive Assistant support to the Chief Strategy & Business Operations Officer and Chief Financial Officer (CFO), while coordinating operational activities and supporting the delivery of strategic projects and business initiatives across the Club.

 

This role sits at the heart of the Club's business operations and offers an exciting opportunity to work closely with two senior executives, supporting organisational priorities, strategic initiatives and day-to-day operational effectiveness.

 

As a trusted partner, you will ensure the smooth running of both executives' offices while coordinating projects, managing stakeholders, driving follow-up actions and supporting the delivery of key business objectives across the Club.

 

This role is ideal for an experienced Executive Assistant, Operations Coordinator, Project Coordinator or Business Support professional looking to broaden their exposure in a fast-paced and ambitious environment.

 

Executive Support

  • Act as the primary point of contact between the Chief Strategy & Business Operations Officer, CFO and internal and external stakeholders
  • Manage complex and ever-changing calendars, ensuring executive time is effectively prioritised and aligned to business objectives
  • Coordinate meetings, appointments, events and travel arrangements, including domestic and international travel
  • Prepare agendas, reports, presentations, briefing papers and supporting documentation
  • Manage email and telephone correspondence, prioritising requests and ensuring timely responses
  • Attend meetings, record minutes, track actions and ensure timely completion of agreed outcomes

 

Business Operations & Administration

  • Support the effective day-to-day operation of the executive offices
  • Maintain confidential records, documentation and sensitive business information with the highest level of discretion
  • Process expenses, invoices and administrative requests on behalf of both executives.
  • Manage travel itineraries, accommodation, transport and logistics
  • Develop and maintain effective administration processes that improve efficiency and organisation
  • Support planning activities and operational priorities across the wider business

 

Project Coordination & PMO Support

  • Coordinate strategic projects and business initiatives sponsored by the Chief Strategy & Business Operations Officer and CFO
  • Track project milestones, actions, risks and dependencies, ensuring progress is monitored and communicated effectively
  • Maintain project plans, action logs and reporting documentation.
  • Prepare project updates, reports and dashboards for senior stakeholders.
  • Coordinate project meetings and workshops across multiple departments.
  • Support governance processes by ensuring actions and decisions are accurately documented and followed through.
  • Assist with the delivery of business improvement and transformation initiatives across the Club

 

Stakeholder Management

  • Build strong working relationships with colleagues across all areas of the Club, including Strategy, Finance, HR, Commercial, IT, Legal, Fan Experience and Football.
  • Liaise with senior leaders, sponsors, investors, partners and external stakeholders in a professional and confident manner.
  • Support communications between executives and key stakeholders to ensure effective information sharing and decision-making.
  • Assist with the management of relationships with corporate partners, media organisations and governing bodies where required.

 

Strategic Support

  • Assist in the preparation of key decks, board packs, performance reports and strategic presentations.
  • Conduct research and gather information to support executive decision-making.
  • Monitor and track strategic priorities to ensure actions are progressing as planned.
  • Identify opportunities to improve processes, reporting and ways of working.
  • Support the delivery of the Club's strategic and operational objectives through effective coordination and organisation.

 

About the Person

Essential

  • Previous experience in an Executive Assistant, Personal Assistant, Business Operations, Office Management, Project Coordination or similar role.
  • Exceptional organisational skills and the ability to manage multiple priorities simultaneously.
  • Strong diary management and coordination experience.
  • Experience supporting senior leaders or stakeholders.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and the ability to work accurately under pressure.
  • Demonstrable experience coordinating projects, initiatives or cross-functional activities.
  • Proficiency in Microsoft Office and Microsoft 365 applications, including Outlook, Teams, PowerPoint and Excel.
  • High levels of discretion and professionalism when handling confidential information.

 

Desirable

  • Experience within sport, entertainment, hospitality or a fast-paced commercial environment.
  • Exposure to project management methodologies or PMO practices.
  • Experience preparing reports, presentations and executive-level documents.
  • Knowledge of business operations, governance or strategic planning processes.
