Position Summary
The Facility and League Operations Manager is responsible for overseeing the daily operation of the soccer facility and managing all facility-based leagues, rentals, tournaments, programs, and special events.
This position serves as the primary on-site leader. It ensures that the facility is safe, clean, organized, properly staffed, and prepared to provide an excellent experience for players, coaches, families, referees, rental groups, and visitors.
The ideal candidate is highly organized, dependable, comfortable working in a fast-paced sports environment, and able to manage multiple programs and events simultaneously. This individual must be willing to work a flexible schedule, with a significant portion of the role taking place during evenings and weekends.
Primary Responsibilities
Facility Operations
- Oversee the daily opening, operation, and closing of the facility.
- Ensure all fields, common areas, restrooms, concession areas, offices, and spectator spaces are clean, safe, and ready for use.
- Complete and supervise daily opening and closing procedures.
- Conduct regular inspections of the facility, playing surfaces, goals, nets, equipment, lighting, doors, security systems, and other operational areas.
- Identify maintenance or safety concerns and coordinate timely repairs or corrective action.
- Maintain facility supplies, equipment, cleaning materials, concessions inventory, and operational resources.
- Coordinate with cleaning companies, maintenance vendors, contractors, and other service providers.
- Ensure that facility rules, safety policies, emergency procedures, and occupancy requirements are consistently followed.
- Respond professionally and effectively to injuries, incidents, customer concerns, scheduling issues, and facility emergencies.
- Maintain accurate incident reports, maintenance logs, inventory records, and operational checklists.
- Assist with facility security, including securing entrances, fields, equipment, and restricted areas at the end of each day.
League Operations
- Plan, organize, schedule, and manage youth and adult soccer and futsal leagues.
- Coordinate league registration, team placement, divisions, schedules, standings, playoffs, and championship events.
- Communicate league rules, schedules, policies, deadlines, and updates to teams, coaches, players, referees, and families.
- Recruit teams and promote leagues to local clubs, coaches, businesses, community organizations, and individual players.
- Coordinate referee assignments and communicate with referee assignors regarding coverage, cancellations, and performance concerns.
- Ensure games begin on time and that fields, goals, scoreboards, game balls, and other equipment are properly prepared.
- Monitor league competition and address disputes, forfeits, disciplinary matters, eligibility concerns, and rule violations.
- Maintain accurate league standings, scores, rosters, waivers, and registration information.
- Evaluate league performance and recommend improvements to formats, scheduling, pricing, rules, and customer experience.
- Develop new league and tournament opportunities based on facility availability and community demand.
Scheduling and Rentals
- Manage the facility calendar for leagues, practices, games, tournaments, camps, clinics, rentals, and special events.
- Coordinate field and facility rentals with teams, clubs, schools, trainers, businesses, and community organizations.
- Respond to rental inquiries and provide information regarding availability, pricing, policies, and facility rules.
- Confirm reservations, collect required documentation, and ensure rental groups understand their responsibilities.
- Identify and fill unused field time to maximize facility usage and revenue.
- Prevent scheduling conflicts and communicate changes promptly to affected customers and staff.
- Coordinate with internal soccer programs to balance organizational needs with outside rentals and events.
Staff Management
- Recruit, train, schedule, supervise, and evaluate part-time facility staff
- Clearly communicate staff responsibilities, facility standards, and customer service expectations.
- Prepare weekly staff schedules based on facility programming and event needs.
- Confirm that all scheduled shifts are properly covered.
- Provide staff with ongoing direction, support, and performance feedback.
- Ensure employees complete assigned opening, closing, cleaning, safety, and operational tasks.
- Review timekeeping information and assist with payroll preparation when required.
- Model a professional, reliable, and customer-focused approach for all employees.
Customer Service
- Serve as a primary point of contact for players, parents, coaches, referees, rental groups, vendors, and visitors.
- Create a welcoming, organized, and professional environment throughout the facility.
- Respond promptly to phone calls, emails, questions, concerns, and customer requests.
- Resolve scheduling problems and customer complaints calmly and professionally.
- Build positive relationships with local soccer clubs, schools, coaches, organizations, and community partners.
- Gather customer feedback and use it to improve leagues, programs, rentals, and facility operations.
Financial and Administrative Responsibilities
- Assist with developing and meeting facility, league, rental, and event revenue goals.
- Monitor registrations, rental payments, outstanding balances, refunds, and credits.
- Support the development of league pricing, rental rates, tournament fees, and promotional offers.
- Track facility usage, league participation, staffing expenses, and other operational performance indicators.
- Assist with preparing budgets and controlling operating expenses.
- Provide regular reports regarding facility activity, league enrollment, revenue, staffing, maintenance concerns, and upcoming events.
- Follow organizational procedures for handling payments, deposits, cash, and financial records.
- Assist with marketing leagues, rentals, tournaments, camps, and other facility offerings.
Events and Tournaments
- Assist with planning and operating tournaments, showcases, camps, clinics, birthday parties, corporate events, and community programs.
- Develop event schedules, staffing plans, facility layouts, and operational timelines.
- Coordinate with participating teams, referees, vendors, sponsors, and event partners.
- Ensure that fields and event spaces are properly prepared before each event.
- Provide on-site leadership throughout events and address operational issues as they arise.
- Complete post-event reviews and recommend improvements for future events.
Qualifications
- Bachelor’s degree in sports management, recreation management, business, hospitality, or a related field preferred.
- Previous experience in sports facility operations, league management, event management, recreation, or a related position.
- Soccer or futsal knowledge and experience are strongly preferred.
- Previous staff supervision or management experience preferred.
- Strong organizational, scheduling, communication, and problem-solving skills.
- Ability to manage multiple responsibilities in a busy and changing environment.
- Strong customer service skills and the ability to communicate professionally with a wide range of individuals.
- Comfortable using scheduling, registration, email, spreadsheet, point-of-sale, and facility management systems.
- Ability to work independently while also collaborating with organizational leadership and other departments.
- Reliable transportation and the ability to travel locally when required.
- CPR, AED, and First Aid certification are preferred or required within a designated period after hiring.
Physical Requirements
- Ability to remain active and on-site for extended periods.
- Ability to walk throughout a large indoor or outdoor sports facility.
- Ability to lift and move goals, benches, tables, equipment, supplies, and other items weighing up to approximately 50 pounds.
- Ability to work in varying indoor and outdoor temperatures and weather conditions.
- Ability to respond quickly to facility, safety, or customer service situations.
Schedule Expectations
This is not a traditional Monday-through-Friday position. The Facility and League Operations Manager must be available during the facility’s busiest operating periods, which will frequently include:
- Weekday afternoons and evenings
- Weekends
- School vacations
- Holidays
- Tournaments and special events
The specific schedule may change seasonally based on leagues, rentals, tournaments, and facility programming.
