Club Secretary

Job Description

We are seeking an experienced and highly organised Football Club Secretary to oversee all aspects of professional player administration, football regulatory compliance, and First Team football operations.

This is a key leadership role within the football operations department, working closely with the Executive Chairman, Performance Director, Head of Recruitment and Academy staff to ensure the Club operates efficiently and remains fully compliant with all domestic and international football regulations.

The successful candidate will act as the Club’s primary liaison with governing bodies including the FA, EFL and FIFA, while managing player registrations, transfers, match administration and football governance matters across the Club.

Key Responsibilities

  • Responsibility for all aspects of professional player administration, including completion of player registrations, transfers and loans both domestic and international, and completion of FA Registered Football Agents documentation.

  • Completing applications/claims on the FIFA Transfer Matching System and FIFA Legal Portal.

  • Completing Agent payment confirmation and reconciliation on the iFAS and FIFA system as appropriate in line with current FA and FIFA Agent Regulations.

  • Liaise with the Club Finance team on the financial impact of player registrations, transfers and loans both domestic and international.

  • Managing player eligibility for matches, appearance schedules, disciplinary records, bonuses and contractual trigger clauses in transfer agreements for incoming and outgoing players.

  • Managing all aspects of the FIFA Clearing House process including training compensation, solidarity distribution, Electronic Player Passports and claims from other Clubs.

  • Managing international call ups for professional players.

  • Ensuring appropriate medical cover is in place for all professional and scholarship players as well as insurance cover for international players and trialists.

  • Keeping the Club compliant with all regulatory requirements set by the various football Governing Bodies, acting as the first point of contact at the Club for said Bodies, and implementing measures and resolving matters arising as a result.

  • Communicating all aspects of football rules, regulations and requirements to the Board and the Club's staff and advising relevant staff of the Club’s obligations and responsibilities.

  • Monitoring, recording and management of the FA disciplinary process including player and club fines for any on-field and off field disciplinary actions reported by the FA.

  • Managing the monitoring and reporting on match officiating statistics from the EFL/PGMO.

  • Keeping the Executive Chairman, Head of Recruitment and Academy Manager fully informed about all football and player-related regulatory matters.

  • Providing advice and support to the Academy Department as and when required.

  • Responsibility for Governing Body Endorsements for non-UK players and upkeep of the UK Visas and Immigration Sponsorship Management System.

  • Liaise with the Club legal partners as necessary for regulatory compliance.

  • Managing the organisation and administration of home and away First Team fixtures and completion of pre-and post-match documentation and being the lead contact for visiting clubs and match officials.

  • Managing the Football Operations team members.

  • Strong communication and relationship-building skills

  • High levels of professionalism, integrity and discretion

Flexibility is essential, including attendance at First Team home fixtures and selected away fixtures
