The Recruitment Coordinator plays a key role in supporting the hiring process by ensuring a smooth and efficient experience for both candidates and hiring teams. The Recruitment Coordinator will act as a key brand ambassador, ensuring Leeds United is represented as an employer of choice to all external candidates. They will play a vital role in delivering a professional, engaging, and positive candidate experience, ensuring that every individual leaves the recruitment process with a strong and favourable impression of the club, regardless of outcome.
In this position, you will support the Recruitment People Partner with key recruitment administration across internal and external recruitment, including managing recruitment trackers, posting job advertisements, setting agendas, coordinating interview panels aligned to our EDI strategy, and handling candidate correspondence. Strong organisational skills and attention to detail are essential, as the role involves juggling multiple priorities and maintaining accurate records.
You will represent the Recruitment People Partner on interview panels for entry-level roles and support external careers fairs and speaking engagements.
The ideal candidate is highly organised, proactive, and comfortable working in a fast-paced environment. Excellent communication and interpersonal skills are critical, as you will interact with a diverse range of stakeholders. The Recruitment Coordinator should also demonstrate discretion when handling sensitive information and a commitment to delivering a high-quality hiring experience.

What You’ll Be Doing

Key Responsibilities:
Interviews and Career Events
Coordinate and schedule interviews across multiple stakeholders, ensuring alignment of calendars and a seamless process
Manage end-to-end interview logistics, including booking meeting rooms or virtual links and confirming attendance
Prepare and distribute interview schedules and materials to hiring teams in advance
Act as a delegate for the Recruitment People Partner on interview panels for entry-level roles
Sit on the panel for assessment centres for high-volume casual recruitment, ensuring a safer recruitment process is followed as per the club policy
You will support the Recruitment People Partner with external careers fairs and speaking engagements.
Candidate Experience & Communication
Act as the primary point of contact for candidates, providing timely updates and responding to queries
Managing internal and external recruitment administration
Ensure a professional, engaging, and positive experience throughout the recruitment process
Facilitate clear communication between candidates, recruiters, and hiring managers
Support the Recruitment People Partner with organising and facilitating candidate assessment centres between Elland Road and Thorp Arch
Recruitment Administration
Manage the internal careers mailbox
Support junior-level or casual roles, high-volume shortlisting
Maintain and update the Recruitment Tracker with accurate candidate information and status updates
Manage job postings across various platforms, ensuring consistency and accuracy
Prepare recruitment documentation, including candidate summaries, interview guides, and evaluation forms
Onboarding & Pre-employment Checks
You will support the wider People Services team by providing cover for the People Services Administrator and assisting with additional activities where required, such as onboarding.
Reporting & Process Improvement
Maintain recruitment trackers and generate reports on key hiring metrics such as time-to-fill and pipeline activity
Identify opportunities to improve recruitment processes and enhance efficiency
Support continuous improvement initiatives within the talent acquisition function
Compliance & Stakeholder Management
Ensure all recruitment activities comply with company policies, data protection requirements, and employment legislation
Support the Recruitment People Partner with recruitment campaigns, employer branding initiatives, and hiring events/ assessment days as needed

What We’re Looking For
We’re looking for someone proactive, personable, and who thrives in a busy environment. You’ll be a key point of contact at the academy, so building trust, staying organised, and maintaining confidentiality are all essential.
You’ll have:
Proven experience in a highly administrative role, within
Recruitment
,
HR
, or a
fast-paced office environment
Demonstrated experience managing high volumes of administrative tasks with accuracy and efficiency
Familiarity with recruitment processes, including interview coordination and candidate management
Proven experience using applicant tracking systems (ATS), HR systems, or databases/ trackers
Experience maintaining and managing large volumes of data, ensuring records are accurate, consistent, and up to date
Experience coordinating diaries, meetings, and logistics in a structured and efficient manner
Confidence in handling repetitive tasks while maintaining a high standard of quality and consistency
Ability to work methodically, follow processes, and meet tight deadlines
Desirable
CIPD level 3
Experience in recruitment – either agency or in-house
Experience or training in best practice interviews and scoring
Knowledge of Safeguarding with associated DBS levels
