Job Purpose 

Reporting to the Director of IT Governance, the Technology Finance & Governance Coordinator provides essential financial and administrative support to the technology function. This role ensures that technology expenditure is accurately tracked, properly processed, and well-documented, giving the IT Management team the visibility it needs to manage costs effectively.

Day-to-day, the role covers the processing of purchase orders and invoices, management and oversight of recurring technology costs such as telephony and data bills, oversight of the software and hardware licence register, and support for supplier-related administration. The role works closely with both the Finance team and technology suppliers to keep technology financial operations running smoothly.

Key Responsibilities 

  • Raise and manage purchase orders for technology spend, ensuring appropriate approvals are obtained and records are kept up to date.
  • Process, match and track technology invoices, liaising with Finance and suppliers to resolve discrepancies in a timely manner.
  • Manage recurring invoiced costs across the technology portfolio, including telephony, data, connectivity, and other regularly billed services, ensuring accuracy.
  • Maintain the technology licence register, tracking software and hardware entitlements, renewal dates, and compliance across the estate.
  • Support the IT Management team with reporting and spend tracking, ensuring budget position is accurately reflected at all times.
  • Coordinate with the Finance team to ensure technology transactions are correctly coded, allocated, and reconciled.
  • Assist with supplier administration, including maintaining contact records, managing documentation, and supporting renewal and onboarding processes.
  • Flag cost anomalies, billing errors, or compliance gaps to the Director of IT Operations for review and resolution.
  • Maintain clear, organised records and documentation across all financial governance activities, supporting audit and compliance requirements.
  • Contribute to continuous improvement of financial administration processes within the IT Governance function.

What you will bring

  • Experience in a finance administration, procurement support, or governance coordination role, ideally within a technology or IT environment.
  • Familiarity with purchase order and invoice management processes, and an understanding of how these operate within a large organisation.
  • Experience managing or contributing to a software or asset licence register.
  • Ability to track and reconcile recurring costs across multiple suppliers and service lines.
  • Strong attention to detail and a methodical approach to record-keeping and financial administration.
  • Good communication skills, with the ability to liaise effectively with Finance colleagues, technology teams, and external suppliers.
  • Proficiency in Microsoft Excel and financial or ERP systems; experience with Workday is desirable.
  • Ability to manage competing priorities and meet deadlines in a busy, fast-paced environment.
