Creative Traffic and Workflow Coordinator

The Opportunity
We're looking for a highly organised and proactive Creative Traffic & Workflow Coordinator to become the driving force behind our creative and content delivery process. This is an exciting opportunity for someone who thrives on managing workflows, coordinating multiple projects, and ensuring that creative teams have everything they need to deliver outstanding work on time and at pace.
Working within a fast-moving marketing environment, you'll act as the central hub between stakeholders, designers, content creators, agencies and suppliers, helping to prioritise requests, manage studio capacity, and keep projects moving from brief to delivery.
Key Responsibilities
Brief intake, prioritisation and pipeline
- Own the intake of every brief across Marketing - creative, campaign, content, activation, partnership and matchday - through a single route on Monday.com(opens in new tab), ensuring each one is properly scoped, tiered, prioritised and assigned before it enters production.
- Pin down objectives, audience, deliverables, channels, dependencies and success measures at the point of briefing.
- Run brief reviews with the Senior Marketing Planning Manager and Lead Designer: triage new requests, agree scope, confirm the route - in-house or agency - and commit to a delivery date.
- Where demand exceeds capacity, escalate clashes early to the Senior Marketing Planning Manager and Lead Designer with clear options on lead times, bottlenecks, and impact.
- Maintain the creative and content workload against the 26/27 Master Planner, run the weekly briefing-flag review, and hold a rolling twelve-week forward view so the department sees pressure points before they arrive.
- Co-ordinate player and talent requests through Football Operations against the agreed lead time and escalate issues and proposed solutions to the Head of Marketing.
Resource and capacity management
- Own the creative studio schedule, support the Lead Designer to allocate across design, motion, art working and content on the basis of skill, availability and development.
- Maintain a live capacity model - bookable days, committed days, contingency - and reserve headroom for reactive work.
- Act as the day-to-day point of contact for the freelance roster: booking agreed resource, issuing task briefs, tracking delivery hours, and processing invoices against pre-agreed POs and rate cards.
- Identify recurring bottlenecks and suggest process improvements, automation, or tooling updates within Monday.com(opens in new tab) to help the studio run faster and leaner.
Stakeholders, process and reporting
- Build credible working relationships across the club, and communicate priorities, progress, risk and change early and in language that suits the audience - from designer to senior leadership.
- Represent the creative and content teams in planning conversations as required and represent the club's commercial urgency back to those teams.
- Champion the Campaign Planning Playbook and Monday.com(opens in new tab) workflows across internal teams, ensuring briefing templates and naming conventions are consistently followed.
- Administer and champion the workflow platform - templates, intake forms, automations, dashboards and permissions - so give visibility of workload.
- Report weekly on throughput, brief quality, time-to-live, on-time delivery and capacity utilisation, and contribute to annual and quarterly planning by telling the department.
Non-essential: Production, agency and supplier delivery
- Manage key project workflow with external creative, media and production agencies - owning the briefing calendar, review scheduling, delivery milestones and approvals, and ensuring every supplier has what it needs to deliver first time.
- Track work through post-production, review, amends and approval, keeping the two-eye check and named-approver rules intact under time pressure.
- Own asset delivery and the asset library against the brief; right formats, right specs, right channels, three working days before launch, with naming conventions, version control and an archive.
What We're Looking For
Essential
- 2-4 years experience in traffic, studio, creative operations, production, or marketing operations management - in an agency, in-house creative studio, or a sport, media or content team.
- Demonstrable experience owning brief intake and prioritisation for a multi-disciplinary creative team at volume.
- Fluent in a workflow management platform (monday.com(opens in new tab), Asana, Wrike, or similar) - building templates, forms, automations, and reporting views.
- Proven experience managing external agencies, production partners and suppliers.
- Strong numeracy and reporting instinct: you can show the department its own performance and make the case for change with evidence rather than opinions.
Desirable
- An organised, calm, detail-obsessed workflow driver.
- Agency background as a Producer, Traffic Coordinator, or Project Manager.
- Experience in professional football, sport, entertainment or live events, including exposure to both men's and women's audiences or to running two brands from one resource.
- Experience working on shoots and managing freelance pools, rate cards and production budgets.
- Familiarity with brand governance and approval workflows involving partners, sponsors and rights holders.
- Understanding of the commercial pressures behind the brief: ticketing on-sales, retail drops, hospitality, C&E, and Partnership deliverables.
