Job Summary
Reporting to the Senior Manager, General Secretary’s Office, the Executive serves as the face of the Football Association of Singapore (FAS), creating a warm, polished and professional experience for visitors, partners, stakeholders and colleagues. The role combines front-of-house service with office administration, visitor coordination and hands-on support for match days and key events.
The successful candidate will gain broad exposure across executive office administration, stakeholder engagement, VIP hospitality, event delivery and match-day operations, with opportunities to take on wider responsibilities and contribute to cross-functional projects as their capabilities develop.
Job Description
- Serve as the first of point of contact, greeting and welcoming guest, clients, partners and visitors in a friendly and professional manner.
- Manage incoming calls, general email enquiries and correspondence; screen and direct them accurately to the appropriate departments.
- Coordinate visitor registration, appointments, meeting-room bookings and access arrangements.
- Maintain the reception area, meeting rooms and shared spaces so they are clean, organised, well-stocked and presentation-ready
- Receive, sort and distribute mail and deliveries, and arrange courier dispatches when required.
- Maintain the internal telephone directory, visitor logs and administrative records, and support filing, data entry and document preparation.
- Manage office and pantry supplies, including procurement, stock monitoring and replenishment.
- Support event setups, client and VIP visits, match-day operations and other office logistics, including occasional evenings or weekends when required.
- Handle initial feedback or complaints calmly, provide appropriate assistance and escalate matters when necessary.
- Collaborate with internal teams to ensure seamless front-of-house operations and contribute to other projects or duties as assigned.
Job Requirements
- Minimum GCE ‘A’ Level, Diploma or equivalent.
- Relevant experience in front desk, reception, hospitality, customer service or office administration is preferred.
- A polished professional presence and a genuine service mindset.
- Clear spoken and written communication, with confidence engaging visitors, colleagues and senior stakeholders.
- Strong organisation and attention to detail, with the ability to prioritise and stay composed in a fast-paced environment.
- Good judgement, discretion and respect for confidentiality.
- A collaborative attitude and willingness to support across departments.
- Basic computer literacy (e.g. MS Office – Word, Excel, PowerPoint)
