Buying and Merchandising Administrator

About the role

As Buying and Merchandising Administrator, you will play an important role in supporting the team with stock intake, sample handling, product information and supplier communication. You will help maintain accurate documentation, support product data processes and work closely with colleagues across Buying, Merchandising and Finance to keep day-to-day operations running smoothly.

This role will suit someone who brings a strong eye for detail, excellent organisation and a positive, team-focused approach. You will be confident managing multiple priorities, working with data and using systems to support accurate product and stock information.

What you’ll do

In this role, you will:

  • Create and upload SKUs to internal systems, ensuring data is accurate, consistent and well maintained.
  • Maintain and update the product master document to support accurate product information across the team.
  • Liaise with suppliers to support stock updates and ensure booking-in processes are followed.
  • Monitor delivery discrepancies, including over and under deliveries, working with the Buyer and wider team to resolve issues.
  • Track stock due dates, delivery statuses and received quantities to support accurate intake reporting.
  • Support invoice processing and work with Finance and Buying colleagues to investigate and resolve invoice queries.
  • Provide high-quality administrative support to the Buying and Merchandising teams, helping to deliver smooth and efficient daily operations.
  • Manage product samples for eCommerce photography and internal use, including tracking sample movement, deliveries and returns.

What we’re looking for

We are looking for someone who can bring:

  • Strong organisational and time management skills, with the ability to manage multiple tasks effectively.
  • A high level of accuracy and attention to detail.
  • The ability to work independently and as part of a team
  • Strong written and verbal communication skills.
  • The ability to manage multiple tasks and deadlines in a fast-paced environment.
  • Confidence using Microsoft Excel, including VLOOKUPs, pivot tables and basic formulas.
  • It would also be beneficial if you have previous experience in a retail buying or merchandising administration role, although this is not essential.
