Job Purpose
Pentyrch RFC is a long-established inclusive community rugby club based at parc y Dwrlyn, Pentyrch. We run fourteen teams across Senior Men, Youth, Women's Touch and Mini & Junior age groups. As part of the Pentyrch Sports Association (PSA), we work closely with the football, tennis, bowls, and cricket clubs at the Parc.
Our clubhouse provides valuable function facilities for parties, weddings, events, and business meetings, supported by extensive parking and attractive outdoor space. To support our ambitions, we are seeking to rejuvenate our clubhouse operations, maximising it potential and strengthening it role within the community.
The successful candidate will be expected to create a welcoming environment for members, guests, sponsors, visiting teams and the local community while driving revenue growth, ensuring cost control and maintaining high standards of customer service, compliance and operational efficiency. Working collaboratively with the Directors and Committee, this role offers the opportunity to shape the future of our clubhouse, ensuring it supports our core purpose: playing and promoting rugby football.
Key Responsibilities
Operations
- Oversee clubhouse operations, ensuring readiness for all scheduled events
- Manage all activities and maintain a match and events diary
- Bring forward initiatives for events and functions to attract new customers and members and increase turnover
Staffing & Leadership
- Ensure appropriate staffing levels for bar, catering, and events
- Lead recruitment, training, and development of bar and catering staff
- Manage staff timesheets and liaise with the Club's payroll provider
Compliance & Safety
- Implement and uphold all health & safety and licensing requirements
- Maintain a comprehensive risk register and ensure risks are identified and mitigated
- Maintain a food hygiene rating of 4 and achieve a rating of 5 within the first 12 months maintaining it going forward
Bar, Catering, Customer exprience
- Maintain high standards of bar service, product quality, and customer care
- Oversee catering provision
- Ensure cleanliness across the clubhouse and the outside space
- Manage stock procurement and deliveries, including bar and cleaning supplies
Administration
- Act as the main contact for facility bookings and respond promptly to enquiries
- Use and develop the Club's social media platforms to promote Club activities and opportunities to attend, this will include regular events, specific functions, specific sporting events which are televised
- Monitor bar profitability, sales performance and gross profit margins and report to the Executive Committee
- Carry out any other reasonable duties as required
Key Performance Indicators (KPIs)
- Bar revenue and profitability targets achieved
- Membership and customer satisfaction levels maintained or improved
- Effective management of staff including control of hours
- Compliance with licensing and health and safety standards
- Effective stock control with minimal wastage
- Growth in function bookings and commercial income

Person Specification
The ideal candidate will:
- Have experience managing licensed bar and/or food service operations
- Have experience of managing staff and creating a healthy working environment
- Understand (or be willing to learn) licensing and health & safety requirments
- Be able to develop strategies to increase clubhouse usage and community engagement to increase turnover
- Hold or be willing to obtain a food hygiene certificate
- Be willing to complete a DBS check and first aid at work training
- Have experience of food production
- Be customer focused and committed to Club's community ethos
- Be able to travel reliably to and from the Club and carry out their duties effectively, particularly given limited public transport after 8pm

Pay: £25,420.00-£25,425.00 per year
