The Training Ground Operations Coordinator is a key operational role within Millwall Football Club, providing comprehensive administrative, logistical, and player-facing support to the Head of Training Ground Operations.

The role sits at the heart of the Club's day-to-day operations, ensuring the seamless running of the training ground environment, supporting players at every stage of their time at the Club — from signing and settlement through to matchday — and playing a critical part in the Club's wider administrative and logistical functions.
As part of a new Club initiative to establish an internal travel function, the post holder will play a central role in building and operating this capability alongside the Head of Training Ground Operations
The post holder will act as a trusted, discreet, and professional point of contact for players, staff, external partners, and visitors, and will be expected to manage a varied and fast-paced workload with high levels of initiative and personal organisation.
Training Ground Operations
• Provide comprehensive operational support to ensure full department coverage at all times and effective continuity of service.
• Order and manage stationery supplies and monitor monthly stationery budgets on behalf of the Head of Training Ground Operations.
• Manage internal and external post between The Den and the Training Ground.
• Raise Purchase Order numbers for relevant departments as required.
• Undertake any additional reasonable duties as requested by the Head of Training Ground Operations.
Matchday Operations — First Team & U21s
•Work on First Team matchdays at The Den, covering the Players' Entrance and the Player Family Room, with flexibility to support across match operations as required.
• Manage and administer Player Matchday Tickets and Lounge Passes for all home fixtures.
• Produce U21 matchday team sheets for U21 fixtures.
• Coordinate U21 matchday scout replies and guest lists, ensuring accuracy and timely communication.
• Assist in the management of U21 trialists, ensuring all medical documentation is completed in conjunction with medical staff, and confirming player registration ahead of fixtures.
• Maintain and update a trialist database for the Head of Training Ground Operations, ensuring accurate and up-to-date records at all times.
• Liaise with Academy staff regarding guest lists for Academy fixtures at the weekend
Player Care & Welfare
• Act as a primary point of support for new signings and established players regarding off-field welfare needs, with a high degree of empathy, professionalism, and discretion.
• Liaise with local estate agents to arrange property viewings for new players and build a maintained database of estate agent contacts and properties.
• Book and manage hotel accommodation for new signings and players requiring temporary housing.
• Identify and negotiate hotel partnerships to secure preferential rates for the Club.
• Arrange tuition and educational support for new players where required.
• Provide hands-on relocation and settlement support to players joining the Club, ensuring a positive and smooth transition.
• Organise and coordinate player appearances in conjunction with relevant departments.
• Coordinate signing sessions at the Training Ground and facilitate merchandise signing on behalf of players.
• Attend and support pre-season training camps, both in the UK and overseas.
Safeguarding
• Act as joint Designated Safeguarding Officer (DSO) for the Training Ground, alongside the Head of Training Ground Operations.
• Promote and maintain a strong safeguarding culture within the training ground environment.
• Ensure safeguarding policies and measures are consistently implemented and adhered to by all staff and visitors.
• Escalate any safeguarding concerns promptly and appropriately to the Club Safeguarding Officer.
• Maintain up-to-date knowledge of safeguarding legislation, best practice, and Club policy.
Internal Travel & Logistics
• Book and coordinate all flights, trains, and hotel accommodation across Club departments, including the First Team, Academy, and Community.
• Manage travel logistics for all areas of the Club, ensuring cost efficiency and operational compliance.
• Support the Academy with potential overseas tours and training camps where requested.
• Identify, research, and liaise with travel agents and specialist agencies to develop reliable, preferential partnerships for Club travel.
• Maintain accurate records of all travel bookings, expenditure, and supplier agreements.
