JOB TITLE: Matchday Safety Coordinator  
DEPARTMENT: Matchday Safety
DIVISION: Operations
REPORTING TO: Head of Match Day Safety
CONTRACT: Permanent - Full Time (40 hours per week, any 5 of 7 days including matchday’s as required.

JOB FUNCTION: To assist and support key aspects of the match day safety operation, specifically all administrative duties and support, including the day to day communication with our Stewards workforce, as required.

MAIN RESPONSIBILITIES:

  • Assist the management the stewards email inbox.
  • Book and arrange Stewards cover for each fixture at Kingsmeadow Stadium & Stamford Bridge via the PARiM App.
  • Assist with the preparation Match Day Safety paperwork for each fixture.
  • Collate all Match Day Safety paperwork after each fixture and file it away efficiently and effectively.
  • To assist with Stewards Payroll each month in line with payroll cut off deadline.
  • The calculation and submission of the Stewards Bonus to Payroll.
  • To assist with any Customer/Steward complaints in line with the correct business protocol.
  • To assist with the arranging of Stewards Training and bookings with the Learning & Development Team.
  • To assist with Match Day Accreditation process for all of the Match Day Safety Team.
  • To raise Purchase Orders for the department.
  • Administrative support including managing and maintaining team database; Scheduling System and Stewards Clock-In System (TDS).
  • Supporting the recruitment and selection of Stewards with the HR/Talent Acquisition Team.
  • Supporting Steward Communications from the HR Team via email or links to documentation.
  • Audit and maintaining department equipment stock and uniforms.
  • To perform any other reasonable ad-hoc duties to help the performance of the Match Day Safety Department function efficiently.

  • Excellent timekeeping and attendance.
  • Excellent communication skills especially with operational departments, the Human Resources Department and our Safety Stewards workforce.
  • Excellent interpersonal skills with a focus on being a team player.
  • Attention to detail with excellent organisation and administrative skills.
  • Ability to work to deadlines and to focus on being efficient.
  • Understanding key elements of regulation around areas of work.

 

PERSONAL SPECIFICATION:

  • Ability to organise, prioritise and meet deadlines.
  • Experience of working in a demanding, high pressure, elite sports environment is an advantage.
    Administration experience.
  • Sound decision making.
  • Good written and verbal skills.
  • Ability to work with minimum supervision and within demanding timescales.
  • Ability to work under pressure in a demanding practical role.
  • Continuous Professional Development will be expected.
