THE POSITION

FIFA’s Operational Legal sub-division, which deals with all FIFA’s business-related legal matters, including contracting, corporate matters and litigation, is looking for a new Team Assistant to join us in our Coral Gables, Miami offices.  The Team Assistant will work closely with our Senior Contracts Manager, to assist in a number of key administrative tasks and to provide support for the lawyers on the team.  In particular, the Team Assistant will:
  • Assist with document management and rights management systems, such as DocuSign.
  • Act as the back up to the Senior Contracts Manager for contract handling, execution and archiving of revenue-generating contracts, including being primary liaison with Finance and Project Managers throughout FIFA.
  • Support in the creation and maintenance of customers in SAP for rights contracts and Docusign.
  • Assist in liaising with project managers across FIFA in understanding the application and requirements of internal processes, including the Team Handbook.
  • Assist with recording of FIFA internal processes.
  • Support Operational Legal directors and department heads with department administrative reporting
  • Assisting the Senior Contracts Manager in the communication with external providers for the compilation of data to coordinate accruals registration before year-end.
  • Support department heads and subdivision director in day-to-day activities including calendar management, invoice handling, law firm engagement budgets, meeting rooms, travels and expense requests.

This role would suit someone with some experience of working in an office environment, who is enthusiastic to learn and be part of a busy team, with great organizational and communication skills.  In particular, the Team Assistant should have:        

  • First class written and spoken English language skills

  • Enjoy interaction and coordinating with other internal and external stakeholders

  • Understanding of contracts management and rights management for a legal department

  • Proactive, with a strong sense of personal responsibility with an ability to work autonomously if needed
  • Resilient with an ability to competently handle a large workload amid rapidly shifting priorities
  • Open-minded team player with an affinity for working within a variety of cultures and excellent communication skills
  • High degree of professionalism and confident demeanour
  • Ability to be a good ambassador for FIFA in all manner of external facing situations, including during contract execution, external clients
  • Willingness to operate outside of comfort zone
  • Bachelor’s degree
  • Minimum of 2-5 years administrative assistant experience
  • Native level English (or equivalent)
  • Proficiency in any other FIFA language (French/Spanish) is an asset but not required
  • Proficient in Word / PowerPoint / Excel
  • Proficient in SAP
  • Proficient in document management system tools
  • Readiness for stand-by duties and special projects
