Position Title: Team Services Manager

Position based in: Concacaf Headquarters, Miami

POSITION PURPOSE:
The Team Services Manager will lead Team Services in the overall strategy, planning and execution of team requirements. This role will be responsible for supporting teams participating to events, meetings and tournaments in their travel, accommodations, transportation, and onsite needs, ensuring flawless customer service with a strong attention to detail.
ESSENTIAL FUNCTIONS:
- Liaise and secure flawless coordination between Teams and travel, ground transportation and accommodation executions, planning, site inspections, support accommodations selection and negotiation, onsite staffing, and post-event assessments and reporting.
- Plan and coordinate all travel logistics, including flights, accommodations, visas and ground transportation for participating teams, both domestically and internationally.
- Manage all aspects of travel and accommodation for referees, including payment and tax-related matters, while liaising with the referees and finance departments.
- Oversee and facilitate all aspects of event Team travel services management including the development and maintenance of policies and the setup.
- Lead the operational planning and execution of team activities at hotels and movements to/from training sites and stadiums.
- Facilitate all official and informal communications related to hospitality between Concacaf and the teams, from qualification through to the conclusion of the tournament and financial reconciliation. Focused on the coordination with travel and accommodation services.
- Address travel contingencies, such as flight cancellations, delays, or last-minute changes, with a proactive approach.
- Lead Team travel and logistics services and facilitate all aspects of the defined service levels.
- Strong alignment with Competition division to a ensure service level alignment.
- Oversee and facilitate onsite Team travel and logistics services including event setup, problem solving, welcoming teams, communicating with staff, and event take-down.
- Creation and management of key relationships with entities including service providers, and support with the relationship of Competitions with member associations, other football bodies and government agencies and officials.
- Create and implement hospitality plans for Team tournaments.
- Budget follow-up and oversight for all tournaments.
- Creation and analysis of high-level RFPs for Team services
- Work on multiple national and regional meetings simultaneously.
- Prepare and review contractual terms and conditions.
- Ensure compliance with procurement procedures.
- Work closely with other departments to plan the scope and format of team events.
- Support the detailed reconciliation of event expenses.
- Create and analyze online evaluations and prepare post-tournament reports including recommendations for improvement.
- Support the Head of ETS and the Chief of Finance and Administration Officer with other activities and tasks as assigned.
SPECIFIC JOB KNOWLEDGE, SKILL AND ABILITY:
The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that s/he can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities.
- Bachelor’s degree
- 8+ Years of experience in the Sport Industry. Football is a plus.
- Expert proficiency in Microsoft Office (especially Excel, Word; Outlook and PowerPoint), Microsoft Project or other event management software (e.g. CVENT) is a plus.
- Up to date on current trends in the events industry.
- Experienced in negotiating with vendors.
- Experience in dealing with sports teams is a plus.
- Team player, professional, positive attitude, pride in work product.
- Excellent interpersonal skills with proven track record working with internal and external stakeholders.
- Ability to handle multiple projects simultaneously while working as both part of a team as well as independently.
- Proven supervisory experience with the ability to hire, manage and mentor staff.
- Excellent written and verbal communication skills.
- Fluent in English and French or Spanish / proficiency in Dutch is a plus.
- Strong organizational and planning skills.
- High level of integrity and discretion in handling confidential information is critical and professionalism in dealing with others both inside and outside of the confederation is a must.
- Exceptional client service mindset.
- Experience in a Political environment is desired.
- Candidate must have the flexibility to travel nationally and internationally for the performance of his/her duties. Approximately travel requirement: 40 - 50%
