Operations Executive (W&G) Job Description
Reports to: Operations Manager (W&G)
Location: Based at the American Express Elite Football Performance Centre and required to attend the American Express Stadium. You will be expected to undertake travel as is necessary to fulfil the requirements of the role.
Hours per week: This is a full-time role. This role requires flexibility to work evenings and weekends to meet the needs of the post.

Roles and responsibilities
• To work closely with the Operations Manager W&G and Academy Manager W&G on all operational needs.
• To assist in coordinating fixtures across the pathway and senior team.
• To attend home and away fixture as required across the pathway and senior team.
• To assist with women’s first team home game logistics, including hospitality, ticketing, mascots, stewarding and any further match day logistics.
• To plan and co-ordinate pre-season training, fixtures and trials for the GA.
• To assist with all documentation in ensuring the club is compliant in all FA audits across W&Gs.
• To ensure effective, timely correspondence and communication with all key stakeholders related to the Girls’ academy to include but not limited to staff, players, parents, club partners and other departments.
• To work collaboratively to manage and develop mutually beneficial relationships with key stakeholders e.g. The FA, Sussex FA, Community, JPL, Grassroots clubs, club departments, sponsors, partners and the DiSE Programme.
• To assist the education department with all educational needs and dual careers.
• To co-ordinate all refereeing scheduling, player/parent/carer workshops, player reviews, inductions, and scouting needs.
• To register players across the pathway including where required on IFAS.
• To attend all FA meetings as requested.
• To build relationships across the academy and wider club to enable effective operational support to all coaching staff.
• To support administration required for budget cycles, budget management, staffing and recruitment needs.
• To support with the administration of expenditure procedures for across the women and girl’s department.
• To assist the clubs’ finance department with invoicing and purchases orders.
• To communicate with the clubs’ catering, transport, and facilities staff, to ensure all operations are sufficient.
• To support all club meetings for W&Gs and take minutes as required.
• To assist in ensuring full compliance with all rules and regulations set by the FA, ensuring the production of all documentation requested by such bodies is achieved within the set time frames.
• To develop and maintain positive working relationships with key stakeholders both internally and externally, including; media, marketing and commercial departments.
• Any other duties as deemed reasonable by the Operations Manager W&G.

• To ensure compliance with all relevant legal, regulatory, ethical and social requirements.
• To build and maintain good working relationships both internally and externally, maintaining a professional persona at all times when representing Brighton & Hove Albion and Brighton & Hove Albion Foundation.
• To keep confidential any information gained regarding the club and foundation and its personnel.
• To maintain a flexible approach to work at all times.
• To undertake other duties and responsibilities as required from time to time
