Job Description

The Chattanooga Football Club Academy is seeking a Tournament & Events Director to create, manage and market tournaments and camps for CFC’s Soccer Academy.  

 Responsibilities: 
 
Administration: 

●  Lead day-to-day administrative duties for the CFC Tournament Series, including, but not limited to: 
○  Creating and managing online registration systems for all events. 
○  Assist with building tournament brackets and making tournament schedules. 
○  Oversee & manage the procurement of PT staff & Event Staff including additional legal requirements. 
○  Support payroll duties & financial tracking for all on-site event staff. 
○  Coordinate a schedule and facilitate the process for social media postings with CFC Marketing. 
○  Assist with inventory and procurement of new equipment and supply needs. 
○  Manage the organization of the department’s Google Drive and Filing systems. 
 
Communication/Marketing: 

●  Adhere to the club’s 24-hour communication policy for all emails and voicemails. 
●  Develop & execute a communication plan for all department programs, including but not limited to check-in, team placement, schedules, logistics, registration information, program information, and general updates. 
●  Create and maintain a folder of email templates for simple and fast communication. 
●  Support the maintenance and management of all department websites. 
●  Establish and maintain a network of contacts with clubs to build national awareness and brand recognition. 
●  Maintain communication lines with all event staff, contractors, partners, vendors, and sponsors. 
●  Create a Social Media marketing plan for club tournaments and events and oversee the execution with the Marketing and Communication department. 

 

Customer Service:
 

●  Implement a superior customer service process that ensures each client’s needs are met through emails, phone calls, messages, and meetings 
●  Execute a communication plan for contacting every team for each event during the registration period. 
●  Act as a support arm for all issues and problems that arise before, during, and after each event. 
●  Implement & execute creative solutions with the input of Site Managers in a timely manner. 
●  Lead by example through decisive actions to provide guidance and support for all parties involved. 
 
Operations & Logistics: 
●  Co-lead the four key areas of O&L: People, Core Operations, Facilities, and Strategy. 
●  Oversee staffing logistics for event staff and contracted external staff. 
●  Lead trainings for newly hired tournament event staff. 
●  Assist with locating, procuring, and renting fields and facilities for tournaments and events. 
●  Be a point of contact for vendors, partners, contractors, and sponsors before, during, and after events to ensure the needs of all the parties mentioned have been met to the high standard set by the club. 
●  Provide vital logistical information & coordinate the scheduling for medical staff with the Director of Medical. 
●  Ensure all health and safety protocols for events set by the Director of Medical are met. 
●  Provide vital logistical information & coordinate the scheduling of referees with the Director of Refereeing. 
●  Facilitate hospitality needs for teams attending club events through our hospitality partners. 
 

Financials:
 

●  Assist with management of tournament and event financial processes, including but not limited to: 
○  Assisting the management of the full department budget through reports and submissions of invoices. 
○  Co-Managing each specific event budget through detailed financial tracking and consolidation of records. 
○  Submitting purchase requests and expense forms for all outgoing financial transactions. 
○  Recording of event staff hours, submission of payrolls, and timely payment of staff. 
○  Collecting payments from participants in a timely manner before each event. 
○  Ensuring contracts and invoices are sent to vendors, contractors, and partners operating at events. 
 
Culture/Leadership: 

●  Establish, implement, evaluate, and provide leadership based on the vision and mission for club events. 
●  Form a supportive, trustworthy, and empowering environment for all part-time staff and event staff. 
●  Build and cultivate positive internal and external working relationships with co-workers, staff, teams, and all additional stakeholders involved. 
●  Assist in defining and creating strategies for club culture goals that make CRYSC an employer of choice. 
●  Foster an equitable and inclusive work environment where all employees and stakeholders feel valued and can thrive through support, training, coaching, and overall strategy and practice

Camps: 
·       Summer Camp Session 1: Date TBD 
·       Summer Camp Session 2: Date TBD 
·       Summer Camp Session 3: Date TBD 
·       Fall Break Camp: Date TBD (all school break camps are based on Hamilton Co. School Calendar breaks) 
·       Christmas Break: Date TBD 
·       Spring Break Camp: Date TBD 
 
Tournaments: 
·       Spookout Friday or Saturday before Halloween 
·       Riverfest - November 15-17, 2024 
·       Chattanooga Cup - March 28-30, 2025 
 
 
Skills and Qualifications: 
·       BA BS or MA preferred in sports or business related field. 
·       Experience in event management space (not necessarily soccer event mgt) 
·       Knowledge of the youth soccer landscape 
·       Experience leading financial planning related to events 
·       Experience leading/managing all event staff and related parties 
●      Excellent verbal and written communication skills. 
●      Ability to self-manage, stay flexible, positive, resourceful, and reliable. 
●      Demonstrated ability to manage and prioritize multiple projects in a fast-paced environment. 
 
OFFER AND COMPENSATION: 
●  This assignment will be for an 11-month period 9/1/2024–7/31/2025 
●  Part-time employee 
●  $30,000 per year pay rate, annualized. 
●  You will have the ability to earn the following additional compensation: 
○  15% commission on net profit of tournaments 
○  60% commission of net profit on camps and clinics
