Job Description

Position Title:     Manager, Team Operations & Administration

Location:             Vancouver, BC

Terms:                 Full-time, Permanent   

Reports to:          Sporting Director, Vancouver NSL – Stephanie Labbe

   

The Northern Super League (NSL) is a new Canadian professional women’s soccer league, which currently consists of six clubs and is set to kick off in spring of 2025. In addition to Vancouver, there are clubs in Halifax, Toronto, Montreal, Calgary and Ottawa.

 

We are looking for a highly motivated and experienced individual to join the newly founded, Vancouver NSL team in the position of Manager, Team Operations & Administration

 

The role of the Manager, Team Operations & Administration will play a crucial role in overseeing and coordinating all aspects of team operations to ensure the smooth functioning of the team. The individual will be responsible for the provision of effective, timely operational and administrative leadership of the daily operations for the Vancouver NSL team, while supporting and upholding the overall club culture and objectives. This position requires strong organizational skills, attention to detail, and the ability to manage logistics effectively. You will work closely with coaches, players, support staff, and management to maintain high standards of operational excellence both on and off the field.

 

Specific Job Duties include, but are not limited to:

 

Operations 

Team Travel

·        Coordinate all team travel and away match requirements including flights, hotel, ground transportation, meals, airport parking, per-diem, Matchday-1 training and ticket requests

·        Provide staff and players with all relevant travel information prior to departure and during travel

·        Travel with NSL team for all away matches as required and act as primary contact on the ground for airline, hotel, bus company and home team

·        Collect and process all invoices from key travel stakeholders including airlines, hotels, ground transportation companies

 

Match Day Requirements

·        Ensure that all match day league standards and requirements are executed

·        Coordinate game day logistics with the events team and designated team staff including parking, tickets, etc.

·        Work with Head Coach to complete and submit match day roster

·        Direct contact for all away team requests including MD-1 training, tickets, accreditations, etc.

·        Prepare visiting team packages

 

Player Housing

·        Source and manage the housing inventory for NSL Club

·        Serve as a liaison between the players and property management/landlord

·        Work with players and property management/landlord to ensure the following are managed:

o   Move in/out coordination

o   Lease, deposit and rent is appropriately invoiced and reconciled

·        Work closely with Player Care Officer to transition duties once player/staff arrives in market

 

Team Communications

·        Construct and communicate daily and weekly team schedules and travel itineraries to staff, players and training facility staff.

·        Coordinate and communicate all player movement for training and match days.

·        Ensure pre/post training meals are scheduled and organized

 

Player Onboarding

·        Lead the immigration process for obtaining player visas, work permits, eTA’s, ESTA’s, etc and work as primary liaison for correspondences with Lawyers and Player

·        Act as primary contact and assist Player Care Officer in all player relocation items including flights, accommodation, vehicle, logistics, expenses

·        Coordinate and process confidential personnel information with HR/Payroll department including SIN, banking, etc.

·        Lead player in completing mandatory league compliance training and Safe Sport courses

 

Administration 

·        Lead the registration process for all players and team staff annually.

·        Manage all data requirements into the NSL platform and any future platforms

·        Manage and monitor club and player database daily

·        Manage and coordinate players and trialist visits as required

·        Manage the ordering and distribution of seasonal accreditation

·        Ensure Club operations are conducted in compliance with all Club, NSL, Canada. Soccer, Concacaf, FIFA, and governmental risk management policies, regulations, and requirements, including SafeSport initiatives, and ensure that any changes to such requirements are implemented across the Club. Support Sporting Director with budget management, working closely with other staff to ensure financial processes are utilized correctly. 

 

Qualifications/Experience:  

The successful candidate will have degrees of demonstrated skills and experience as follows: 

 

·        3+ years in a similar role, in an extremely fast-paced, dynamic environment

·        Must be legally entitled to work in Canada

·        Post-secondary degree in Business Administration or Sport Management is preferred

·        Proven organizational skills, with highly accurate attention to detail

·        Strong initiative, with demonstrated problem-solving and sound decision-making skills

·        Outstanding communication and people skills, with the ability to interface effectively with all business functions throughout the Club 

·        Exceptional verbal/written communication and presentation skills

o   Effective listener, with the ability to build strong internal and external relationships at all levels.

o   Demonstrated experience in generating written reports.

·        High degree of personal integrity, with the ability to practice a high level of confidentiality and discretion

·        Ability to be highly effective working independently as well as collaboratively within a strong team environment 

·        Ability to manage and appropriately prioritize a large workload effectively and efficiently  

·        Flexibility to adapt to frequently changing, fast-paced work environment while managing shifting deadlines, and changing initiatives 

·        A clean and valid full BC driver’s license

The salary range for this position is $67,000 - $77,000
