Job description

The Position:

The Assistant provides support in the Coach Education Department directly to the Coach Education Executive, Coordinator, Manager and Head of Coach Education. You will be required to work with all of the previous and further FAI personnel as well as internal and external stakeholders and will take the lead in a number of key aspects including the administration of Grassroots courses and communication with all key stakeholders(clubs, coaches, development officers, and relevant coach education staff). The Coach Education Assistant will contribute strongly to reports and keeping all records as outlined below. In addition you will provide cover where necessary for any other administrative duties as may be assigned from time to time from the Association.

Key Responsibilities:

Reporting to the Coach Education Coordinator and Coach education Executive the Coach Education Assistant will be responsible for administration in the following key areas of our business:

  • Provide a high level of administrative support to the FAI Coach Education Programmes.
  • Printing/processing of Certifications (hard copies & electronic) as well as the closure of coaches on the FAI Net system.
  • Database management and spreadsheet development of the Coaching pathway specifically within grassroots coach education and up to the UEFA C Licence.
  • Maintain the administration of Grassroots coaches CPD.
  • Creation of course links on a weekly/monthly basis.
  • Support the Coordination of venues and dates for all courses across the grassroots pathway.
  • Record and arrange couriers and taxis, room bookings, allocations and all postal services where required.
  • Update and maintain all financial records in relation to the grassroots courses across the Coach Education programmes.
  • Provide research and administrative assistance to the Head of Coach Education, Coach Education Manager, Regional Managers and Directors within the FAI as required.
  • Coordinate the submission of reconciliation forms from Development Officers throughout the course of the year.
  • Ensure good working relationships and co-ordination between Development Officers and the Coach Education Department as well as other stakeholders and staff.
  • Liaise with Coaching Ireland to maintain the standard, status and profile of the FAI Coach Education programme.
  • Manage the day to day requests and enquiries via phone and e-mail.
  • Maintain the E commerce/online booking system for all Grassroots/Coach Education courses. Ensure familiarity with the FAI Coach Education pathway through attendance at grassroots courses and workshops as required
  • Complete required E-Learning Platform administration where required, including the provision of social media promotion.
  • Flexible and willing to complete other duties assigned from the Head of Coach Education, Coach Education Manager, Coach Education Coordinator and Coach Education Executive.
  • Flexible in terms of working week where required provide support in the administration, and delivery of Grassroots coach education courses, staff training and cpd events.

THE PERSON:

The successful candidate will have the following:

As a highly motivated self-starter, you will have Knowledge, Skills and Personal Attributes/Qualities in relation to the following:

  • 1-3 year’s professional experience of working in a similar position, preferably in a sports environment.
  • Proven track record of planning, administrating and supporting the delivery of coaching courses, projects and equivalent educational events.
  • Experience in promotion of Social Inclusion through Football.
  • Experience in project management and delivery of KPIs.
  • Third Level Degree preferred in Sports Management or equivalent – Essential
  • Attained a minimum coaching qualification of UEFA B Licence – Desirable
  • Ability to establish and sustain relationships with internal and external stakeholders
  • Excellent communication skills, and being able to demonstrate the ability to practise workloads.
  • Ability to administrate the application of coaching Courses, and report the application process to the relevant persons in Coach Education.
  • A heightened understanding of the FAI Strategic Plans & Reviews, FAI’s Player Development Plan and local and regional football structures.
  • Demonstrates that can consistently achieve objectives and targets within the Coach Education programme.
  • An accomplished and motivated professional with excellent organisational and interpersonal skills.
  • Proficient in IT - Microsoft Word, Excel, PowerPoint and various operating systems.
  • Knowledge and or Experience in the provision of Training and development Programs.
  • Ability to demonstrate the understanding of priority planning and work load management.
  • Willingness to work within a lifelong learning environment in which self-development and continuous professional development is a must have characteristic.
