Job Description

Main goal

The Travel and Conferences Assistant is a key point of contact for making business travel arrangements for UEFA VIPs, including flights, hotels, car rentals, VIP services at airports, ground transportation, etc.

The mission comprises assisting with the coordination of local and international meetings and conferences, including organisational tasks (support documents, request offers from suppliers, on-site coordination, etc.) and administrative tasks (mainly legal, finance and procurement, etc.).

 

Key responsibilities

- Booking flights and hotels using a GDS (Amadeus);

- Booking other services for VIPs, mainly ground transportation and airport VIP services;

- Coordinating and following up on the booked services;

- Arranging meetings and conferences, including procurement, service bookings and on-site coordination;

- Maintaining a professional relationship with UEFA suppliers and negotiating with them;

 

Profile

Experience required:

- From 1 to 3 years in a travel agency

- Any experience in an events agency or hotel is an asset

 

Education:

- CFC in business administration (ideally with a focus on tourism and hospitality) or higher degree

- Specialisation in the hospitality and travel industry is an asset

 

Languages:

- English / Proficient

- French / Proficient

- Any additional languages would be an asset

 

Additional requirements:

- Good knowledge of Amadeus and Cytric

- Good organisational skills

- Good understanding of the event/hotel/travel industry

- At ease with figures

- Service-minded and solution-oriented

- Proven ability to work in a team (even with other units) as well as independently

- Ability to communicate easily with different cultures and clients

- Able to prioritise workload

- Advanced MS Office skills

- Able to manage short notice requests

- Proven ability to care for people

- Ability to work under stress and out of regular working hours

- Willingness to travel for business purposes
