Job Description

Mission

The Event Coordinator is part of a small team of event professionals reporting to the Event Manager, supporting and sometimes leading the organisation and delivery of UEFA corporate events, such as congresses, live broadcast competition draws and social VIP functions. With a high energy, can-do attitude, flawless organisational skills and a creative mind, the Event Coordinator supports or leads projects and venue logistics, oversees budgets and schedules, while working with a variety of in-house experts, such as branding and signage, technical services, stage management, broadcasting, procurement and legal.

The Events unit is currently planning the following: annual congress, group stage draws for club competitions, UEFA Nations League draw, the qualifying and final draws for the UEFA EURO 2024 (Germany), as well as VIP social functions at multiple venues. Each season, the Event Coordinator is assigned a portfolio of events. Depending on the size and complexity of the event, your role will vary from direct project management to administrative and venue logistics support for the Event Manager.

 

Key Responsibilities

Event planning and delivery

- Developing the event concept (purpose, scope, theme, venue and physical layout, audience, timing, resources);

- Drafting project plans, including detailed timelines and milestones for key deliverables;

- Keeping track of the event budget;

- Handling supplier proposals for various events in collaboration with the procurement team;

- Coordinating with divisions and suppliers throughout the contracting phase;

- Drafting supplier contracts in close cooperation with UEFA’s Legal division;

- Planning and conducting site visits;

- Liaising with all internal and external stakeholders involved in organising the event to ensure requirements are met;

- Overseeing and supporting various aspects of the project, working with in-house experts during the planning and on-site execution;

- Planning for contingencies that could impact the integrity of the event

 

Miscellaneous

- Helping the unit to establish standard operating procedures and generic templates;

- Maintaining a working knowledge of the complex needs of a wide variety of events;

- Researching and assessing potential venues for future events.

 

Profile of successful candidate

Experience required:

- from 1 to 3 years / at least 3 years working in a corporate environment

- from 4 to 6 years / at least 4 years working in event management or live event productions

 

Education:

- Bachelor's in event management or a related field

 

Languages:

- English / Proficient

- German / Advanced
