Job Summary
Reporting to the Assistant Manager, Operations, the Executive shall assist in the delivery of ancillary events, coordinating project-based operations and FAS apparel management. This role combines office-based administration responsibilities with on-site venue operations, ensuring effective event delivery, vendor coordination and accurate documentation. The ideal candidate plays a key role in strengthening execution across venue setup, fan zone and precinct operations, apparel management and operational documentation.
Job Description
Ancillary Events Coordination
- Support bump-in, setup and teardown operations
- Assist with venue walk-throughs and readiness checks
- Oversee on-site setup in adherence to approved layouts
- Vendor coordination (backdrops, furniture, signage, etc)
- Identify and flag risks on operational issues
- Support post-event close-out and reporting
Fan Zone/ Precinct Operations (Assigned Events)
- Coordinate onsite setup requirements with Marketing and Commercial teams
- Ensure adherence to activation layouts
- Supervise vendor execution
- Support crowd-flow readiness and workspace setup
- Escalate operational issues in real-time
Vendor Coordination (Project-Based)
- Involved in the liaison with potential and appointed vendors
- Source and compare quotations
- Provide recommendations based on cost and value
- Coordinate schedules and brief vendors
- Supervise setup and teardown
- Collect invoices and necessary documentation
- Provide vendor performance feedback
FAS Apparel Management
- Managing apparel operations across teams and departments
- Track apparel inventory and stock levels
- Maintain allocation logs, issuance/distribution records
- Handle samples and replacements
- Ensure proper documentation and accountability
Administrative & Operations Support
- Prepare checklists and runsheets
- Maintain trackers and operational documents
- Maintain document structure and version control
- Support report preparation
- Coordinate meetings and site visits
- Update event logistics information
- Support internal submissions and documentation workflow
Reporting & Documentation
- Prepare post-event summaries
- Maintain vendor and apparel tracking registers
- Update operations records
- Provide weekly progress updates
- Ensure documentation is organized and auditable
Requirements
- Diploma or Degree in Event Management, Operations Management, Sports Management, or a related discipline
- Minimum 1 year experience in operations, event coordination or venue management (preferred)
- Experience in a large-acle sports or live events will be an advantage
- Strong vendor coordination experience will be an advantage
- Strong organisational and multitasking skills; with the capacity to work under pressure and meet tight deadlines
- Excellent communication and interpersonal skills; proactive team player with a high level of initiative
- Venue-based supervision responsibilities during matchdays and events
- Required to work evenings, weekends, and matchdays
- Office-based role with on-site deployment during events
- Basic proficiency in Microsoft Office; familiarity with Google Workspace will be an advantage
