JOB FUNCTION: The Production Assistant serves as a vital operational hub within our production team, ensuring seamless coordination across all logistical, administrative, and crew management functions. This role supports the successful delivery of high-quality brand, social and commercial content by managing essential production workflows, maintaining compliance standards, and facilitating effective communication between all stakeholders.
KEY RESPONSIBILITIES:
Production Documentation & Administration
- Prepare, distribute, and maintain all production paperwork including call sheets, movement orders, risk assessments, and wrap reports
- Ensure accurate and timely documentation throughout pre-production, production, and post-production phases
- Maintain organized digital and physical filing systems for all project materials
Crew & Talent Management
- Assist the production team to source, book, and coordinate freelance crew members across all departments
- Manage crew availability, rates, and contracts in alignment with production budgets
- Process crew accreditation, ensuring all personnel have proper credentials and clearances
- Serve as primary point of contact for crew inquiries and schedule changes on match days and shoots when appropriate
Travel & Logistics Coordination
- Arrange comprehensive travel logistics including flights, ground transportation, accommodation, and per diems
- Coordinate equipment transport and location logistics
- Manage shoot schedules and ensure all parties are informed of timing and location details
On-Set Support
- Attend shoots as required to provide on-the-ground production support
- Troubleshoot logistical challenges in real-time during production days
- Liaise between production office and set to ensure smooth operations
Health, Safety & Compliance
- Complete and maintain all health and safety documentation including risk assessments and insurance certificates
- Ensure compliance with industry safety standards and production protocols
General Office & Production Support
- Provide administrative support to Producers, Production Managers, and Directors
- Support the wider production team with ad-hoc tasks as productions demand
MEASURES OF PERFORMANCE:
- Accuracy and timeliness of all production documentation and crew bookings
- Efficiency in resolving logistical challenges and maintaining production schedules
- Quality of crew and vendor relationships, reflected in repeat collaborations
- Adherence to health and safety compliance standards with zero incidents
- Positive feedback from production team and freelance crew
- Ability to manage multiple projects simultaneously while maintaining attention to detail
- Contribution to smooth, on-budget, and on-schedule production delivery
EXPERIENCE/REQUIREMENTS:
Essential:
- A proactive, can-do attitude with genuine enthusiasm for the production process
- Strong organizational skills with exceptional attention to detail
- Excellent communication and interpersonal skills
- Ability to work under pressure and adapt quickly to changing production needs
- Proficient in Microsoft Office Suite
- Willingness to learn and grow within the fast-paced production environment
- Flexibility to work irregular hours including early mornings, evenings, and weekends as production demands
Desirable:
- Previous experience in TV, film, advertising, or digital content production
- Familiarity with scheduling software including Monday.com a plus
- Understanding of industry-standard health and safety protocols
- A second language would be a plus, especially Spanish or Portuguese.
- Knowledge of union regulations and crew rates
