Job Description:
We are looking for a proactive and highly organized Marketing Operations & Finance Coordinator to support the Marketing department in managing day-to-day financial, procurement, and operational activities. This role bridges finance, administration, and marketing execution — ensuring smooth workflows across budgeting, procurement, stakeholder engagement, merchandise tracking, and events.
Key Responsibilities:
Finance & Procurement Support
- Prepare and manage purchase requisitions (PRs) and purchase orders (POs).
- Work closely with procurement and finance teams to process invoices and vendor payments.
- Monitor and track marketing budgets to ensure compliance with allocated spending.
- Maintain accurate records of all financial transactions, vendor documents, and procurement workflows.
- Draft and circulate memos and approval documentation for management sign-off.
Stakeholder & Vendor Management
- Act as a liaison with external vendors, partners, and internal stakeholders for billing and administrative coordination.
- Follow up on vendor billings, reconciliations, and ensure timely resolution of payment issues.
- Coordinate with cross-functional teams (Procurement, Finance) for contract or vendor onboarding needs.
Merchandise & Sales Reporting
- Track, monitor, and reconcile merchandise sales reports from activations, campaigns, and retail channels.
- Maintain up-to-date inventory logs and support merchandising processes and reconciliations.
- Prepare and analyse periodic and ad hoc reports related to sales, stock, and revenue from marketing merchandise.
Ad Hoc Marketing Operations & Events
- Support execution of marketing events, sponsorships, and campaigns by managing logistics, payments, and operations.
- Coordinate internal approvals and ensure readiness of materials and suppliers for events.
- Provide on-ground or remote operational support during campaigns and events as needed.
Qualifications:
- Bachelor’s degree in business administration, Marketing, Finance, or related field.
- 2–3+ years of experience in a similar role involving finance operations, marketing coordination, or procurement.
- Experience working with ERP or procurement systems (e.g., Power Apps, SAP, Oracle, Coupa, etc.).
- Proficient in Excel and familiar with financial tracking/reporting tools.
- Strong interpersonal and communication skills for stakeholder engagement.
- Comfortable handling sensitive information with a high degree of confidentiality.
- Prior exposure to marketing campaigns, merchandise, or events is a plus.
