THE POSITION

Main Activities and Responsibilities

Reporting to the  VIP Hotel Manager, the VIP Hotel Welcome Desk Coordinator will be a key member of the FIFA Club World Cup 25 Guest Operations VIP Hotel team and will work in close collaboration with Accommodations, Guest Relations, Transport, and other key individuals responsible for delivering key operations for guest groups in VIP Hotel.

The main responsibilities and oversight of the VIP Hotel Welcome Desk Coordinator for the FIFA Club World Cup 25™ include: 
  • Greet and welcome guests as they arrive to the VIP Hotel, providing guidance for their reason of arrival 
  • Maintain a sharp overview of all VIP Hotel offerings and daily operations to properly communicate them to guests and maximize their experience during tournament time 
  • Manage any questions or requests, and relaying them to the appropriate Functional Area Lead 
  • Follow proper protocol procedures for all varying guest groups as guided by the VIP Hotel Manager 
  • Maintain the appearance of the welcome desk to uphold the VIP Hotel standards 
  • Monitor all arrivals and departures, communicating with the respective Funtional Area team 
  • Manage all incoming packages for guests as advised by the VIP Hotel Manager 
  • Work closely with the Guest Operations, Guest Relations, Transport, and Accommodations teams to plan and accommodate for guests with special requirements  
  • Adhere to security procedures and handle sensitive information with confidentiality and discretion 
  • Provide the delivery of an exceptional VIP Hotel experience to all guest groups

Experience

  • Bachelors Degree in Management, Sport Management/Business, Marketing and Communications, Hospitality ideal  
  • 2+ Years Hospitality and Guest Management Experience, with Operational Experience  
    Experience with reception, customer service, guest operations, and hospitality, as well as related event services; knowledge of its respective methodologies, planning and controlling tools 
  • Experience supporting end-to-end V/VIP hospitality programs 
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively ensuring smooth operations 
  • Fluent in English. Spanish and/or French proficiency is a plus 
  • Prior experience with international or large-scale events is highly desirable.
  • Proficient in MS Office (Excel, Word, PowerPoint, Visio & Project) and planning software and online collaboration tools 
  • Proven ability to work in fast-paced, high-pressure environments.
  • Strong project management and operational coordination skills.
