Job Description

We are seeking a detail-oriented and proactive Fleet Services Supervisor to assist in managing the day-to-day operations of our tournament time fleet. Reporting to the Fleet Services Manager, the Fleet Services Supervisor will be responsible for supervising fleet operations, coordinating vehicle maintenance, ensuring compliance with safety regulations, and supporting staff management. The ideal candidate will have strong leadership skills and experience in fleet operations, ensuring smooth and efficient services for the FIFA Club World Cup 2025 and FIFA World Cup 2026 and associated events.

This position requires a hands-on approach to fleet operations, making independent decisions within established guidelines. The Fleet Services Supervisor must efficiently coordinate tasks, handle operational challenges, and ensure timely fleet availability for FIFA Client Groups. The role involves oversight of vehicle commissioning and decommissioning while ensuring compliance with organizational policies and industry standards.

Supervision Received: The Fleet Services Manager defines objectives, priorities, and deadlines. The Fleet Services Supervisor independently plans and executes tasks, addressing problems based on prior experience and established protocols.
Supervision Given: Oversees and coordinates daily fleet operations, acting as a lead for assigned staff and providing guidance on work procedures. May assist in resolving operational issues and implementing fleet management policies.

THE POSITION

The main responsibilities of the Fleet Services Supervisor include:

Fleet Management:
  • Assist in developing and executing vehicle commissioning and decommissioning plans.
  • Oversee routine maintenance and repair schedules to ensure optimal fleet performance.
  • Track and manage fleet-related expenses to align with budgetary constraints.
  • Maintain detailed reports on fleet status, fuel usage, and maintenance activities.
Staff Management:
  • Supervise and support fleet personnel, including drivers, ensuring adherence to operational and safety standards.
  • Conduct training programs to enhance staff efficiency and safety awareness.
  • Assist in monitoring staff performance and provide constructive feedback.
  • Enforce compliance with event policies and procedures.
Logistics Coordination:
  • Coordinate vehicle scheduling and availability to meet operational requirements.
  • Work closely with internal teams to ensure seamless fleet integration with broader event logistics.
  • Support the execution of the decommissioning plan for each Host City Depot.
  • Monitor insurance claims, toll, and traffic violation records to assist in fleet supplier settlements.
Compliance and Safety:
  • Ensure all fleet operations comply with local, state, and federal regulations.
  • Implement safety procedures to reduce risks and ensure driver adherence to policies.
  • Stay informed about industry trends and regulatory changes affecting fleet operations.

Education & Qualifications
  • Fleet operations and best practices.
  • Insurance claims procedures and vehicle registration processes.
  • Microsoft Office and Fleet Management Systems (TMM or other).

Languages
  • Fluent in English (written and spoken)
  • Spanish and/or French proficiency is a plus
Technology
  • Proficient in MS Office (Excel, Word, PowerPoint, Visio and Project), planning software and online collaboration tools.
  • Demonstrable experience utilising online recruitment tools (e.g. Applicant Tracking Systems)
