MAJOR RESPONSIBILITIES
Description
Administration & Customer Service
● Act as the first point of contact for all club-related inquiries (in person, phone, email)
● Maintain and update club records, including player registration, payments and
documentation
● Build and manage online registration forms via SportsEngine for both indoor and outdoor
seasons.
● Assist with financial transactions, including processing fees and issuing receipts
● Ensure compliance with league, district and provincial soccer policies and regulations.
● Organize and maintain office records, filing systems and communication logs.
● Support board members, volunteers and coaches with administrative tasks as required.
Scheduling & Event Coordination
● Assist in planning and executing club events, tournaments, banquets and tryouts.
● Coordinate field bookings, game schedules and facility arrangements
● Communicate schedule updates and changes with teams, referees and league officials.
Communication & Community Engagement
● Maintain effective communication with players, parents, coaches, volunteers, league
officials and community partners.
● Promote club initiatives, programs and events through website updates and social media.
● Represent the club at community events fostering relationships with local organizations and
sponsors.
● Respond to inquiries and concerns in a professional and timely manner.
Compliance & Risk Management
● Ensure all coaches, volunteers and players meet club registration and background check
requirements
● Adhere to and enforce club policies, including child protection and safety protocols
● Monitor and ensure compliance with Ontario Soccer and Huronia District Soccer League
regulations.
Other Duties
● Perform additional tasks as required by the General Manager and Board of DIrectors to
meet club objectives.
*Note: All activities are expected to be performed in a safe manner, in accordance with the
Occupational Health and Safety Act and its Regulations. In addition, all necessary personal
protective equipment must be used and maintained in good condition.
REQUIRED TRAINING
● Health and Safety Training
● AODAO
● Standard First Aid, CPR Level C, and Automated External Defibrillator (AED) Certifications
● Respect in the Workplace
*Attends training, workshops and seminars as appropriate and as required
MINIMUM REQUIREMENTS
Education (degree/diploma/certifications)
● Minimum post secondary diploma (Sports Management Business Administration or related
field is an asset).
● Standard First Aid, CPR Level C and Automated External Defibrillator (AED) Certifications
● Satisfactory Criminal Record and Vulnerable Sector Checks
Experience
● Previous experience in office administration or sports club operations is an asset
● Familiarity with soccer league structures, team management and scheduling processes is
an asset.
● Experience with sportsengine or other sports registration software is considered an asset
Knowledge/Skill/Ability
● Strong customer service and communication skills (verbal and written)
● Excellent time management, organization, and problem-solving abilities.
● Proficiency in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint)
● Basic bookkeeping skills are considered an asset
● Knowledge of the Huronia District Soccer League and Ontario Soccer regulations
● Ability to work both independently and collaboratively in a team environment.
Work Conditions
● Office-based with occasional outdoor work at club events and games.
● Exposure to a variety of environments, including dust, dirt, heat and noise.
● Regular interaction with parents, players, coaches, referees and community partners.
● Flexible schedule, including evenings and weekends to accommodate club activities.
● Some physical effort required, including standing, walking and light lifting.
